How we collect, use, and protect your data.

1. Introduction

This Privacy Policy describes how Moderation Fans ("the Bot", "we", "our") collects, uses, and retains data when you interact with the Moderation Fans Discord bot or this website. By using the Bot or this website, you agree to the practices described below.

2. Data We Collect

We collect the minimum data necessary to provide the Bot's features:

  • Discord identifiers — user IDs, usernames, discriminators, and server (guild) IDs, collected automatically when you interact with the Bot.
  • Modmail & web ticket content — messages you send through the modmail system or the web contact form, including timestamps and sender information.
  • Economy data — coin balances, bank balances, experience points, levels, daily/work streak counters, shop purchase history, and transaction records.
  • Moderation records — warnings issued to users, including reason and timestamp.
  • Message counts — weekly per-user message totals used by the /stats command. Raw message content is never stored.
  • Web session tokens — temporary session identifiers used to associate a web ticket with your browser session after Discord OAuth login.
  • Server configuration — settings your server administrators configure for the Bot (e.g. modmail category, prefix, enabled features).

3. How We Use Your Data

  • To operate Bot features (moderation commands, economy, giveaways, modmail, staffmail).
  • To display statistics and leaderboards within Discord and on this website.
  • To route staff support replies to the correct user via the ticket system.
  • To enforce cooldowns and prevent abuse (e.g. daily reward rate limits).

We do not use your data for advertising, profiling, or any commercial purpose beyond operating the Bot.

4. Data Storage & Security

Data is stored in a PostgreSQL database hosted on Replit's infrastructure, and in JSON files on the same server. We apply reasonable security measures to protect stored data. However, no system is completely secure and we cannot guarantee absolute security.

5. Data Retention

  • Web tickets — automatically deleted 10 minutes after being closed by staff.
  • Economy, warning, and configuration data — retained for as long as the Bot remains in your server, or until you request deletion.
  • Message counts — reset every Monday at midnight and the previous week's counts are discarded.
  • Web session tokens — invalidated when you log out or when the session expires.

6. Data Sharing

We do not sell, rent, or share your personal data with third parties. Data is only accessible to the Bot's developers and authorised staff members for operational purposes.

7. Your Rights

You may request deletion of your data at any time by DMing Moderation Fans#6004 on Discord. We will process reasonable requests within a timely manner. Note that deleting your data may affect the functionality of Bot features for your account.

8. Children's Privacy

The Bot operates within Discord and complies with Discord's minimum age requirement of 13 years old (or higher where required by local law). We do not knowingly collect data from users below this age.

9. Changes to This Policy

We may update this Privacy Policy from time to time. The "Last updated" date at the top of this page reflects the most recent revision. Continued use of the Bot after changes constitutes acceptance of the updated policy.
